This Privacy Policy explains how we collect, use, and safeguard your personal information in compliance with Texas state law, Federal CCDF regulations, and TX DFPS Chapter 746/747 minimum standards for licensed childcare centers.

Information We Collect

We collect information necessary to provide quality childcare services and comply with Texas DFPS licensing requirements: • Parent/Guardian Information: Name, contact details, driver's license for check-in verification • Child Information: Name, date of birth, health records, immunizations, emergency contacts • Enrollment Documents: Forms required by TX DFPS Chapter 746/747 • Payment Information: Billing details processed securely through Stripe • Subsidy Information: CCS/TWC case numbers and authorization letters when applicable

How We Protect Your Information

Your data security is our priority: • AES-256 encryption for all stored documents • Secure, US-based data storage (Supabase) • Role-based access control (RBAC) • Secure driver's license verification for check-in/check-out • Regular security audits and updates • Staff training on data privacy and HIPAA-like protections

How We Use Your Information

We use collected information solely for: • Providing safe, quality childcare services • Compliance with TX DFPS licensing requirements • Emergency contact and medical care authorization • Secure child check-in and check-out procedures • Communication about your child's care and development • Billing and payment processing • Required reporting to state agencies when mandated

Information Sharing

We do not sell or share your personal information except: • With your explicit consent • As required by TX DFPS for licensing compliance • To TWC/CCS for subsidy verification (if applicable) • To emergency services when child safety requires • As required by law or court order • With authorized school districts for Pre-K transitions (with consent)

Data Retention Policy

In compliance with TX DFPS Chapter 746/747 and Federal CCDF requirements: • All enrollment documents retained for 6 years (72 months) • This exceeds the 5-year state requirement by 5% • Documents are securely archived after the retention period • You may request document copies at any time • Deletion requests honored after retention requirements are met

Your Rights

You have the right to: • Access your child's records at any time • Request corrections to inaccurate information • Receive copies of all documents we maintain • Know who has accessed your information • Withdraw consent for non-essential data collection • File complaints with the Texas Attorney General's office
